What to Do When You Find a rogue “Affiliate” Account (DACH)
How to associate 'Affiliate' accounts to Träger accounts
Sometimes, you’ll come across a company record in HubSpot that clearly isn’t a Träger (decision-maker), but instead belongs to one of the affiliate categories — for example, a parish, Dekanat, Landeskirche, or welfare umbrella (and is not yet marked as such).
These are important for context but should never stand alone without a proper link to their associated Träger.
To keep our data clean and connected, please take a moment to correct these when you spot them.
🧩 Step 1: Identify the Rogue Account
You’ve likely found a rogue affiliate if:
- It doesn’t operate Kitas directly or hold Trägerschaft.
- It represents a supporting or coordinating body (e.g. parish, Dekanat, welfare umbrella, administrative office, etc.).
- It’s currently not associated with any Träger record.
👉 If in doubt, check the organization’s website or name suffixes (e.g. Diakonie, Pfarrei, Dekanat, Amt) — these are strong indicators of an affiliate.
🏷 Step 2: Set the Correct “Affiliate Type”
- Open the company record in HubSpot.
- In the Properties panel, locate the field Affiliate Type.
- Choose the label that best fits the organization (e.g. Parish, Dekanat, Welfare Association, Administrative Body, etc.).
- Use “Other” if the entity doesn’t fit any defined category.
- Use “Träger” only for dual-role organizations (see section above).
🔗 Step 3: Link the Affiliate to Its Träger
Next, create the correct relationship so that HubSpot reflects the real-world structure.
- In the Companies section of the affiliate record, scroll to the Associated Companies card.
- Click the “+” button to add a new association.
- Search for and select the Träger (the organization that the affiliate supports, reports into, or oversees).
- After selecting, click Next → Add Association Label → Affiliate → Save.
Once saved, the affiliate will appear in the Träger’s company view under Affiliates, grouped by label.
